Privacy notice
VEYIAN is software a football club uses to run its academy. This notice explains what is held about a player, who can see it, how long it is kept, and how to get it changed or removed.
Who is responsible for what
Your club decides what is recorded about your player and why. In data-protection language the club is the controller. Ask the club first about anything on this page — they hold the relationship with you.
VEYIAN provides the software and stores the information on the club’s behalf, following the club’s instructions. In the same language VEYIAN is the processor. VEYIAN does not sell information, does not advertise, and does not use a player’s records for anything except running the service for the club.
One consequence is worth stating plainly, because it is unusual: VEYIAN staff cannot read a club’s players. The database refuses it. The company’s own administration screens show a club’s name, its owner, and counts — never a child’s name, never a measurement, never a medical note, never a message.
What is held
| Information | Why |
|---|---|
| Player’s name, date of birth, sex | To identify the player and group them correctly by age |
| Optional private player photograph | To identify the player in their club profile, after photo permission is recorded |
| Contact details for the player and their parents or guardians | To reach a family, and in an emergency |
| Football information — team, position, squad number, previous clubs | To run training, teams and matches |
| Attendance, training records and test results | To follow a player’s development over time |
| Daily check-in answers — sleep, mood, soreness, effort | To help staff manage training load. Entered by the player, or by a parent on their behalf |
| Permissions you have given or refused, with the date and the wording you saw | To prove what was agreed, and to honour it |
| Availability and restrictions written by a qualified professional | So coaching respects them. VEYIAN never generates these |
| Fees, payments, documents the club asks for | To run the club’s administration |
| Messages you send the office, and transport bookings | To answer you and to run the trip |
| Applications to join, until they are approved or removed | So the club can decide |
What is never asked: a child’s phone location, religion or ethnicity, and any diagnosis. VEYIAN is a training and development tool. It does not diagnose or treat, and it never ranks children against one another.
Who can see it
- Your club’s staff, and only the parts their job needs. A coach sees their own team. Medical notes are visible only to the club’s medical people.
- You — the player, and the parents or guardians linked to them.
- Nobody else. Another club on VEYIAN sees nothing of yours.
Optional bus location sharing
Authorised transport staff can explicitly agree to share the precise location of the phone aboard a bus during a trip, including while its screen is locked. Players and family members do not need to grant phone location permission. The club records planned stops, assigned boarding and drop-off points, and staff-confirmed boarding or arrival events to run transport.
VEYIAN keeps the latest bus position rather than a route history. Location sharing can be stopped in the app or revoked in iPhone Settings. The live session expires automatically. The latest position is cleared on a confirmed stop-sharing or end-run action; expired or cancelled sessions are cleared by routine cleanup. Outdated positions are not used for live arrival estimates. Assigned families receive their own trip status and stop estimates, not other families’ pickup addresses or a list of passengers.
When the club’s routing connection is enabled, bus coordinates and remaining stop addresses are sent to Google Maps to estimate arrival times. Player names are not sent to that provider. See the Google Privacy Policy and Google Maps terms. Routing estimates are calculated on request and are not stored by VEYIAN. Estimates may change with traffic, signal availability and time spent at stops; they are not confirmation that the bus has arrived. The club is responsible for informing transport staff and families about its trip arrangements and meeting applicable local privacy requirements.
Private profile photographs
A photograph is optional and does not affect registration or participation. In the app, the system photo picker lets you choose an image; only the photograph you confirm is uploaded. VEYIAN resizes it and removes embedded metadata, including location data, before storing it. We do not request access to the rest of your library for this feature.
New permission for a private profile photo covers authorised club staff, the player and their linked guardians in the app and website. Older permission for staff-only use does not authorise display in the family app. Photo permission does not cover public posts, advertising or social media. For a player under 18, a parent or legal guardian decides; an adult player decides for themselves. This permission lasts 12 months and can be withdrawn in Player settings. Withdrawal stops display; the image remains part of the club’s stored record until it is erased under the club’s retention policy. Ask the club if you also want the stored photograph erased.
Up to two guardians may have access to the same player. Each uses a separate email and password. The club manages these invitations. Removing a guardian’s link removes access to that player without removing their access to other children.
Children
Most players are under 18, so this matters more than usual. A player under 13 does not hold a VEYIAN login — a parent or guardian does, and the child uses the app on the parent’s account. Between 13 and 15 whether a player may hold their own login is the club’s decision, and never looser than the law of the club’s country allows. From 16 a player may hold their own. A parent or guardian gives the club’s permissions for anyone under 18, and the club confirms who that adult is before an application is accepted.
How long it is kept
- An application you started but never sent: removed after 30 days.
- An application declined or withdrawn: removed 90 days after the decision.
- An approved application: the copy of what you typed is removed 30 days after approval — the player’s record is the real one by then.
- A player’s record: kept while they are with the club. When they leave, the club decides whether to archive or erase it.
- Your login: until you delete it, or ask us to.
- A record that something was erased is kept permanently, with no names in it. That is what stops a backup quietly bringing an erased player back.
Your rights
You can ask to see everything held about your player, to correct it, to have it erased, to object to how it is used, to receive a copy, and to withdraw any permission you gave. For photo permission, use Player settings in the app. Other permissions are available in Forms & Consent.
Account and data deletion requests: contact your club or write to support@veyian.com using your account email. In-app self-service account deletion is not yet available. The club’s player record and your personal login are separate; tell us whether your request concerns the login, the player record, a photograph, or all of these. We will confirm the scope and any information the club must retain before carrying out the request.
In Lebanon, Law 81/2018 gives you the right to be informed, to see what is held, to have it corrected, and to object. Those are the same rights described above.
Where it is stored, and who helps store it
- Supabase — the database, hosted in the European Union.
- Vercel — runs the website and the app’s connections.
- Resend — sends the emails.
- When phone notifications are added, Apple and Google will deliver them. A notification about anything medical will never carry the detail on a lock screen.
Nobody else receives your information, and none of it is used for advertising.
